Switching from Your Legacy PMS to InnSyst: What You Need to Know

Exporting Your Data

Most legacy PMS platforms allow you to export guest profiles, reservation history, and rate configurations through their back-office module or by contacting support. Download everything you can — guest records, corporate account details, rate plans, and revenue reports for at least the last 24 months. You'll want the historical data for forecasting, loyalty tracking, and tax purposes.

A well-designed modern dashboard is intentionally fast to learn: the reservation timeline, guest check-in flow, and housekeeping management should feel intuitive. Most front desk agents are comfortable within a single shift. Managers will want a separate walkthrough for revenue reports, rate management, and OTA performance dashboards.

Going Live

Choose a date when occupancy is moderate — not your busiest weekend but not your deadest Tuesday either. You want enough real traffic to validate the system without being overwhelmed if something needs adjustment.

Run both systems in parallel for the first day if your legacy PMS supports read-only mode. After that, most properties find the new system handles everything their old one did — faster, with fewer clicks, and with real-time data they never had access to before.
