Setting Up Your Hotel PMS in Under an Hour

Getting a new PMS up and running doesn't have to be an all-day project. With a little preparation and a clear flow, you can go from creating your account to checking in your first guest in well under an hour.

The trick is tackling setup in the right order: property settings first, then rooms and rates, then integrations, then a test reservation. Each step builds on the previous one, so resist the temptation to skip ahead.

Property Settings

Start with the basics — hotel name, address, timezone, default currency, tax rates. Tax configuration is worth getting right from the start: most properties need at least two tax categories (room tax and any local tourism or occupancy tax), and if your jurisdiction has different rates for extended stays versus transient guests, set those up now rather than fixing them later.

Next, create your room types (Standard King, Double Queen, Suite, etc.) and assign your physical room numbers to each type. This gives your front desk a visual room grid from the very first shift.

Rate Plans

Rate plan setup is the most important step for revenue management. Start with your base rate plan — the standard rack rate for each room type. Then layer on promotional or negotiated rates: corporate rates, AAA discounts, extended stay rates, seasonal packages.

Each rate plan should have its own cancellation policy, minimum stay requirements, and channel restrictions. If you want a rate to appear on your booking engine but not on OTAs, or vice versa, that should be configurable per plan.

If you're migrating from another system with a clean spreadsheet export, a bulk import feature cuts setup time dramatically.

Integrations

With rooms and rates in place, connect your integrations. Link your channel manager to push inventory and rates to the OTAs you use. Connect your payment processor. If you use smart locks, pair them through the integrations screen — most cloud-based lock systems connect in minutes. Set up your booking engine by choosing your color scheme and embedding the widget on your website.

At this point your entire reservation-to-checkout pipeline is live.

The Test Reservation

Before going live, run one complete test reservation. Create a booking through your booking engine, confirm it appears on your dashboard, check the guest in, assign a room, process a test payment, and check the guest out. This end-to-end test catches any configuration issues — wrong tax rate, missing rate plan, payment gateway not connected — while the stakes are zero.

Fix anything that surfaces, and you're ready for your first real guest.
