How to Choose the Right PMS for Your Hotel

Choosing a property management system is one of the most consequential technology decisions a hotelier will make. The PMS you pick will touch every part of your operation — from how your front desk checks guests in to how you manage room inventory across OTAs.

Yet most buyers focus almost exclusively on the monthly subscription price and overlook the factors that actually determine long-term cost and day-to-day usability. Before you sign a contract, take a step back and evaluate what your property truly needs.

Match the PMS to Your Property Type

Start with your property type. A 10-room boutique B&B has very different requirements than a 150-room full-service hotel with conference facilities, a restaurant, and a spa. Full-service properties need robust group booking, banquet event orders, POS integration, and multi-department reporting. Smaller properties prioritize simplicity, direct booking capability, and fast check-in workflows.

Make a list of must-haves versus nice-to-haves before you even start comparing vendors. This prevents sales reps from steering you toward features you'll never use — and the higher price tier that comes with them.

Integration Capability Is the Hidden Differentiator

Your PMS needs to talk to your channel manager, booking engine, payment processor, smart locks, and guest messaging platform. If any of these require custom middleware, manual data entry, or expensive add-ons, you'll spend more time fighting your technology than serving your guests.

Look for a PMS with native integrations to the major OTAs, popular payment gateways, and modern lock systems. A platform that includes channel management and a booking engine in the base product eliminates the integration gap between direct and OTA inventory entirely.

Scrutinize Payment Processing

Payment processing deserves its own line of scrutiny. Many PMS companies bundle processing and take a cut of every transaction. The advertised rate might look competitive, but watch for hidden fees: PCI compliance charges, chargeback fees, gateway fees that quietly add hundreds of dollars a month.

Ask for a full fee schedule in writing and compare it against independent processors. Better yet, choose a PMS that lets you bring your own processor — so you can negotiate rates directly and keep your existing merchant relationships.

Evaluate Support and Updates

A PMS that works perfectly on install day but receives no updates for two years will eventually become a liability. Ask how often the software is updated, whether updates are included in the subscription, and what support channels are available around the clock.

A 24-hour email-only support ticket isn't much help when your system goes down during peak check-in. Look for vendors that offer phone or live chat support and have a reputation for shipping regular improvements.

What Matters Most

The best PMS isn't the one with the longest feature list — it's the one that reliably does what your property needs, every single day. Match the platform to your operation, scrutinize the total cost, and verify the integration story. Done right, the PMS becomes invisible — your team uses it without thinking about it.
